Job Summary

The University Memorial Center (UMC) at CU Boulder is currently accepting applications for an Event Setup & AV Manager! This position is responsible for supervising the planning, execution, and management of all event setups, audio-visual (AV) services, and operational logistics within the UMC. This role ensures the seamless execution of events, proper maintenance of furniture and equipment, daily exterior inspections, and snow removal operations. The manager provides leadership to both full-time and student staff, fosters a culture of excellence in customer service, and collaborates with various university departments to support the UMC’s mission and strategic goals.

What Your Key Responsibilities Will Be

Event Management & Setup Oversight:
  • Direct and supervise UMC Setup Operations and AV teams, ensuring timely and efficient support for events and meetings both inside and outside the UMC.
  • Collaborate with clients to assess event logistics, ranging from small meetings to large-scale VIP events, ensuring all setup and equipment needs are met.
  • Supervise the setup and breakdown of furniture and equipment, including display boards, signage, tables, chairs, staging, and AV components.
  • Provide leadership to staff leads, ensuring assigned tasks are completed efficiently and to established standards.
  • Operate university vehicles to transport event equipment to offsite locations as needed.
  • Maintain and provide an annual inventory of event furniture and equipment to the CU Events Planning and Catering office, ensuring accurate tracking within the EMS scheduling system.
Staff Management & Leadership:
  • Develop staffing forecasts, schedule full-time and student staff, and ensure adequate event and facility coverage.
  • Review and approve weekly work schedules in coordination with Setup and AV leads, aligning with operational demands.
  • Manage workflow and daily task lists to optimize efficiency and productivity.
  • Lead weekly team meetings with employees and facilitates quarterly department-wide staff meetings to discuss upcoming events, operational changes, and strategy.
  • Conduct bi-annual coaching sessions, annual performance evaluations, and professional development planning for employees.
  • Encourage staff participation in professional growth opportunities and supervises student staff training and development programs.
  • Establish and enforces high customer service standards across all staff interactions.
  • Contribute to the UMC’s strategy and planning, which include supporting short- and long-term goals.
  • Represent the UMC on university-wide committees and collaborates with campus departments to enhance the university’s reputation and service offerings.
Building Operations Oversight: 
  • Direct staff in the daily maintenance and cleaning of event and meeting spaces, retail/vendor areas, and exterior UMC surroundings.
  • Supervise specialized cleaning tasks such as deep cleaning, carpet cleaning/extracting, floor stripping/sealing, window washing, furniture upkeep, and wall cleaning.
  • Manage and coordinate snow removal efforts to ensure safe building access during winter months.
  • Collaborate with Facilities Management on exterior landscaping, trash collection, and snow removal operations.
  • Maintain inventory and orders supplies/equipment necessary for operations, ensuring all equipment is functional and readily available.
  • Initiate repair for damaged equipment or furniture, and reports building maintenance needs to the UMC Maintenance team.
  • Manage furniture procurement, recommending purchases based on research and coordinating third-party repair services as needed.
  • Lead space planning efforts for building-wide projects, including tenant relocations and capital project preparations.
  • Direct and manage the movement of furniture, office equipment, and large items to support UMC operations and office transitions.
  • Administer the UMC’s furniture disposal process in coordination with the university’s Distribution Center.
  • Manage all UMC storage areas, ensuring compliance with university fire codes and efficient space utilization.
AV Operations & Technical Oversight:
  • Supervise AV staff and ensures high-quality AV support for events both within the UMC and at offsite locations.
  • Meet with clients to assess and plan for AV needs, ensuring proper setup and execution.
  • Serve as an operational backup for AV support when necessary.
  • Work closely with the AV lead to ensure staff training on AV setup and operation.
  • Maintains and programs in-house AV systems, ensuring proper functionality and upkeep.
  • Stay updated on emerging AV and furniture trends in collegiate settings and recommends upgrades accordingly.

What You Should Know

The anticipated schedule for this position is Monday through Friday, 7:00am to 4:30pm. Some nights, weekends, and after-hours response may be required.

The annual salary for this position is $74,000.

What We Require

  • Bachelor's Degree or equivalent year-for-year experience. 
  • Minimum of two years of experience in event setup operations, AV management, or large facility oversight.
  • This position operates University vehicles and requires a valid driver’s license.

What You Will Need

  • A demonstrated record of experience in an event multimedia production environment or equivalent.
  • Ability to interpret technical needs and offer solutions.
  • Ability to work independently and in a team environment.
  • Ability to anticipate, troubleshoot, and solve problems in a fast-paced work environment.
  • Excellent customer service skills with and ability to communicate in a professional manner both in writing and in person.
