Job Summary

The PEER Physics program is seeking a 75% time Business Operations & Professional Learning Manager who will work in close collaboration with team members to manage the day-to-day operations of PEER Physics and facilitate professional learning services.

PEER Physics is a Research-Based Service Activity (RBSA) at the University of Colorado Boulder.

PEER Physics collaborates with teachers, schools, and districts to provide curriculum-focused professional development that advances inquiry-based physics instruction in secondary settings. Grounded in research and aligned with the NGSS, the PEER Physics fosters collaborative sense-making, equitable classroom practices, and the development of scientific thinking. As an RBSA, we provide services through service contracts that include instructional materials, implementation support, and ongoing professional learning.

What Your Key Responsibilities Will Be

Operations Responsibilities

Purpose: Support the PEER Physics operations team with key business processes related to outreach, fulfillment, and partner engagement.

Note: These responsibilities may shift as the team and organizational needs evolve.

  • Marketing and Advertising
  • Support with the needs of the marketing team(including teacher spotlights, promotions, resources, etc.)
  • Attend conferences to promote PEER Physics, running the exhibitor booth and exhibitor workshops
  • Support PEER Physics teachers in facilitating workshops and other conference sessions
  • Setting up contracts and partnerships
  • Facilitate meetings (e.g., pilot kickoff, partnership interest calls).
  • Follow-up about pilot experiences
  • Work with the supervisor to understand deals, partnership hopes, and quotation inclusions
  • Issue quotations
  • Issue invoices
  • Support vendor setup, including submission of W-9 and vendor forms.
  • Keep detailed records using the systems agreed upon by the Operations Team
  • Fulfillment:
  • Create and manage fulfillment spreadsheets
  • Initiate fulfillment: ebooks, print books, materials kits, welcome guides, web access
  • Track and follow up on fulfillment status
  • Coordinate with partners to confirm fulfillment details, inventories, and satisfaction.
  • Record keeping and communication
  • Organize and manage CRM data for leads and current partners.
  • Manage the accounts@peerphysics.org inbox.
  • Maintain folder structures, as outlined by the Operations team
  • Payment:
  • Track payment status
  • Follow up with partners as needed to ensure timely payment
  • Maintain records

Professional Learning Program Responsibilities

Purpose: Support and lead PEER Physics professional learning for teachers.

  • Facilitation:
  • Facilitate virtual and in-person professional learning (PL)
  • Sessions will often be outside standard business hours (e.g., evenings, weekends). The person in this position will commit to being available during the times needed to facilitate PL.
  • Travel for in-person PL sessions (around once/month on average).
  • Facilitate teacher coaching sessions using tools such as Sibme.
  • Professional Learning materials and resources:
  • Maintain the organization of PL materials and resources using structures agreed upon in the Partnerships Team.
  • Ensure Facilitators have access to the most up-to-date Mural boards and other resources for the PL Sessions they will lead.
  • Work with the Professional Learning team to develop, revise, and maintain the Facilitator Handbook and the Facilitator’s Guides for the PL sessions.
  • Work with the Professional Learning team to revise PL materials and resources based on the feedback of facilitators after implementation with partners.
  • Supervise teacher facilitators:
  • Lead hiring and training processes.
  • Meet regularly with facilitators to assign tasks, provide feedback, and offer guidance.
  • Work with the Partnership Team to ensure the quality of facilitation and participant experience is aligned with the mission and vision of PEER Physics.
  • Serve as a key communicator with partnered teachers:
  • Manage professional, concise email communication.
  • Collaborate with the Partnerships Team to respond to teacher inquiries and address issues.
  • Collaborate on communication strategies:
  • Co-develop communication plans using tools such as calendars, websites, flyers, logos, and other program materials.

F​inancial Responsibilities

Complete purchasing and payments while maintaining accurate records and adhering to university policies.

Accounts Payable:

  • Manage procurement processes (e.g., POs, SOWs, additional pay, reimbursements), compiling and submitting required documentation in compliance with CU policies.
  • Manage all purchasing with the PEER Physics P-Card.
  • Reconcile transactions and ensure recordkeeping aligns with university policies and due dates.
  • Maintain internal records for purchase orders, scopes of work (SOWs), and P-Card transactions, per protocols established by the PEER Physics Business Leadership Team.

Accounts Receivable:

  • Ensure payments from partners are accurately reflected in m-Fin reports.
  • Maintain internal records for partner invoicing and payments
  • Maintain agreed upon record-keeping with the School of Education financial team (spreadsheets, email tracking, etc.)
  • Generate and reconcile monthly financial reports for both Accounts Payable and Accounts Receivable; work with the School of Education Business Office and campus partners to research and resolve issues.

The starting salary for this position is $48,750 - $56,250.

What We Require

  • Master’s degree in education or similar.
  • 2+ years of teaching experience in K-12 schools.
  • 2+ yrs of professional-level experience working with contracts and finances in a university or similar context.

What You Will Need

  • Strong working knowledge of Microsoft 365 applications, Adobe Creative Cloud (Adobe Illustrator, Photoshop, and InDesign).
  • Experience using CRM tools, such as Monday.com and Zoho.
  • Experience using virtual collaboration tools, such as Mural, GatherTown, Sibme and Zoom.
  • Familiarity with applicable financial principles of managing an educational program.
  • Excellent written and verbal communication skills with broad and diverse audiences.
  • Ability to simultaneously manage projects with multiple due dates.
  • Knowledge of graphic layout and design.

What We Would Like You to Have

  • 6+ yrs of professional-level support as a program manager.
  • 2+ Years teaching PEER Physics in middle school or high school"
  • Working knowledge of CU business systems (i.e Concur, PeopleSoft, HCM, mFin).
  • Familiarity with federal, funding agency, state, university, and departmental policies and procedures.
  • Experience in event planning and management.
  • Prior professional experience working with university faculty, staff, and students, specifically in the School of Education at CU Boulder.
