Job Summary
Transportation Services at CU Boulder encourages applications for a Fleet Maintenance Coordinator! This position manages all internal and external communication between the Transportation Maintenance Garage and CU Boulder faculty and staff, parts distributors, third-party repair shops, and other transportation-related vendors. With minimal to no supervision, this position coordinates CU vehicles due for preventative maintenance, recalls, annual DOT inspections, and other required repairs. Through experience in vehicle maintenance procedures, this position explains recommended services, cost estimates, and timelines, and serves as the face of the CU Boulder Transportation Maintenance Garage.
This person also has full autonomy over and manages the shop's parts inventory. This includes ordering, tracking, and receiving all levels of vehicle parts. There is close coordination with the department’s Office Manager, who handles all invoice payments (e.g. Accounts Payable).
This is a full-time position, reporting directly to the Senior Fleet Manager, who reports to the Transportation Service Director.

Transportation Services provides comprehensive transit, fleet management, and maintenance to serve the faculty, staff, students, and visitors at the University of Colorado Boulder. The University of Colorado vehicle fleet numbers over 600; a robust transit system moving 1.4 million riders per year at the University of Colorado-Boulder campus; and guidance for driver operations for campuses located in Aurora, Boulder, and Denver.

What Your Key Responsibilities Will Be
Intake and Scheduling
- Respond to all inquiries and requests from CU faculty and staff regarding their vehicle service and repair needs. Keep customers updated on job status, changes in the scope of work, delays, and final costs.
- Manage all communication to CU vehicle owners regarding scheduled preventative maintenance.
- With little to no supervision, prioritize recalls and service requests for scheduled repairs.
- In coordination with the Shop Supervisor, schedule technician work assignments to keep the shop workload consistent in our fleet management program calendar (AssetWorks). Create work orders for the shop or direct staff to other resources.
- Contact and schedule any vehicle repairs with outside vendors (e.g., transmission shop). Communicate repair schedules and costs with the vehicle owner.
- Review all finished work orders for accuracy and proper billing to close out the month.
Inventory
- As requested by the shop supervisor and technicians, orders parts from various local, regional, and national distributors. Track orders to ensure they are fully completed and delivered.
- Monitor and order shop fluids for purchase and disposal (lubricating oils, antifreeze, wiper fluid, etc).
- Pick up small parts orders from various local suppliers.
- Manage vehicle and bus parts inventory through our fleet management software.
Warranties
- Record and track warranties for all vehicles and vehicle components.
- Administer the manufacturer’s reimbursement process.
- Track reimbursement payments or credits from various manufacturers.
What You Should Know
- The in-person anticipated work schedule for this position is Monday through Friday 8:00 am - 4:30 pm. The hours may change based on seasonal operational needs.
- This position is eligible for the department Employee Referral Program.
What We Can Offer
The salary range for this position is $58,000 - $65,000 annually.

Be Statements
What We Require
- Bachelor’s degree. Equivalent experience will substitute for the degree on a year-for-year basis.
- Two years plus of experience working in a fleet maintenance/repair shop and/or familiarity with automotive maintenance and repair processes.
What You Will Need
- Skills with Microsoft Word, Excel, Outlook and Teams.
- Ability to establish and maintain strong working relationships with various groups.
- Strong interpersonal and communication skills.
What We Would Like You to Have
- Experience/Familiarity with AssetWorks or other fleet asset management software systems.
- Fleet or Dealership Service Writer experience.
- Ability to translate technical issues into clear, everyday language.
- Strong understanding of automotive maintenance/repair terminology.
- Excellent organizational skills and attention to detail.
- Ability to multitask and work in a fast-paced environment.
