Job Summary

The Renewable and Sustainable Energy Institute (RASEI) encourages applications for a Front Office and Event Manager to provide support in the areas of front office and event management and administration while also assisting with special projects. This position will work to ensure the Institute operations are accomplished efficiently while also providing a high level of support to RASEI Executive Staff.

RASEI (pronounced RAY-see) is a joint institute between the CU Boulder and the National Renewable Energy Laboratory (NREL) addressing meaningful, multifaceted problems in energy that require a multidisciplinary, multi-institutional approach. What Your Key Responsibilities Will Be

Administrative Responsibilities and Assignments:

This position manages administrative functions for RASEI; analyzes internal process and recommends and implements procedural changes to improve operations. Provide high level administrative support for RASEI’s executive leadership team as well as selected support for RASEI faculty, fellow and researchers. Specific responsibilities include:
  • Maintain working knowledge of ongoing programs and projects to triage inquiries appropriately if RASEI Executive or Associate Directors are unavailable.
  • Travel Support:
    • Determine appropriate and efficient travel procedures for RASEI Directors, faculty, staff and Students.
    • Identify and reserve cost-effective and efficient travel and accommodations.
    • Assist RASEI Directors, faculty, researchers, fellows, staff and students with post-travel reimbursement while ensuring compliance with all applicable State and University travel policies.
  • Front office management: host visitors, provide general information regarding RASEI, manage office supplies, mail and packages distribution, oversight of supply/copy/mail room.
  • Supervise, mentor and manage student assistants.
  • Assist with research groups' needs for administration, purchasing, meeting support and logistics.
  • Analyze existing procedures, devising and implementing improvements.
  • Assist in the development of the Department's administrative goals and objectives.
Special Events, Seminars, Conferences and Meeting Management:
  • RASEI POC for all events, ranging from small meetings hosting international delegates, fellows meetings held offsite to large 5-day conferences with 400+ attendees.
  • Manage and supervise RASEI regular and special events, including scheduling, registration, announcements and communication, catering, and logistical details.
  • Prepare and maintain a timeline and budget for each event.
  • Manage expenses within an established budget and timeline and follow University and State fiscal rules and guidelines.
  • Develop internal reports to monitor fiscal management of all meeting types.
  • Manage accommodations, coordinating transportation and lodging arrangements for presenters and participants.
  • Coordinate room set-up and break-down, materials/hand-outs, name badges, signage.
  • BE Seminar coordinator: create and update flyers, posters and other mediums for marketing and advertising.
Facilities Management:
  • Serve as the alternate proctor for RASEI’s defined space in the SEEC and SEEL Buildings.
  • Serve as vendor liaison for maintenance contracts covering both office and research laboratory equipment.
  • Serve as Telecommunication and Parking liaison.

What You Should Know

  • This position offers a primarily on-site work modality with the option for 1-2 days of remote work per week after the initial onboarding period.
  • Some extended hours will be necessary to support various special events.

What We Can Offer

The annual hiring range for this position is $62,000-$70,000.

What We Require

  • Bachelor’s degree and one year of relevant professional experience.
  • An equivalent combination of education and experience may substitute.

  • Ability to analyze, devise and implement solutions and process improvements.

  • Experience with fiscal policies, and travel and accounting procedures.

  • Experience in a supervising or management role.
  • Experience in customer service and experience working with a variety of partners.
