Job Summary

The ATLAS Institute in the College of Engineering and Applied Science encourages applications for the Operations Facilities Coordinator! The ATLAS Institute is an interdisciplinary research and teaching institute dedicated to integrating information technologies into all facets of modern life. The institute’s undergraduate and graduate programs encourage out-of the-box thinking and creative, hands-on exploration. The ATLAS Operations and Facilities coordinator has a wide range of duties, requiring both autonomy and discretion, to provide day-to-day operational and administrative support to ATLAS and the Roser ATLAS building tenants. This person exercises a high level of customer service as the initial ATLAS contact by answering questions, solving problems, or directing those with inquiries to the correct person in a friendly professional manner. The position reports to the ATLAS Administration Program Director.

What Your Key Responsibilities Will Be

Administrative & Office Coordinator:

  • Manages the ATLAS administrative office, serving as the primary point of contact for visitors, faculty, students and vendors, as well as point-of-contact for communications via email and phone.
  • Independently conducts and improves administrative tasks supporting the department as a whole, including but not limited to: reception, office organization, storage, supplies and light database management.
  • Purchases supplies, equipment, and furniture for ATLAS in accordance with University purchasing policies and budgetary restrictions.
  • Acts as administrative liaison for additional purchasing requests submitted by ATLAS faculty and staff in addition to management and tracking of capital asset inventory.
  • Assists ATLAS leadership for priority action items, as needed.

Building Management & Reservations:

  • Serves as the designated Building Proctor for the Roser ATLAS Building, including all departments or units housed therein.
  • Coordinates furniture shifts, office reconfiguration, disposal requests, storage needs, maintenance and repair of the building, and Facilities Management requests.
  • Coordinates access for student and faculty to ATLAS facilities, as appropriate, including managing CCure system and tracking permissions.
  • Manages room scheduling and reservations process in support of the various activities organized by ATLAS and its units, including using the EMS system, by understanding pertinent details about building access and providing technical support as needed.
  • Supervises use of public spaces and classrooms and develops tracking systems to assure cleaning, regular facility maintenance, and repairs are scheduled in a timely manner.
  • Acts as the ATLAS liaison with various campus service units, including OIT, Facilities Management, Parking Services, and CUPD.

Events:

  • Coordinates scheduling of gatherings, including staff meetings, faculty seminars, student groups and outreach efforts. Work with event hosts, both internal to ATLAS and external, to coordinate event staffing, set-up and break-down including furniture, catering, materials/hand-outs, name badges, table tents, labels, and teleconferencing.
  • Collaborates with the HR Coordinator on large scale ATLAS events from ideation to execution. This includes, but is not limited to, the ATLAS Expo (student showcase), Research Open House, and other special events.
  • Manages ATLAS’ Undergraduate Program and Graduate Program graduation ceremonies. Makes appropriate reservations, finalizes event timeline, orders supplies, prints programs, and recruits and coordinates volunteers.
  • Coordinates with University of Colorado departments involved in event planning and large official functions, including parking, safety, catering, facilities/grounds, and University alcohol policy.
  • Performs regular check-ins with the ATLAS finance team on event expenses, and ensure compliance with campus purchasing policies.

Other:

  • Serves on program, college, and university committees as assigned.
  • Performs additional duties as assigned by the Program Director, including supporting leadership, faculty, and staff priority action items and projects.
  • Undertakes other duties and responsibilities, as assigned. In an employee's absence, work duties would revert back to the manager of this position.

What We Can Offer

  • The starting salary range for this position is $57,100 - $59,000 annually. Relocation assistance is available within CEAS guidelines.

What We Require

  • Bachelor's degree and one year of professional experience in Office Administration. An equivalent combination of education and experience may substitute.
  • Must be able to work in-person.

What You Will Need

  • Proficiency in word processing, spreadsheet database, and cloud computing softwares. These could include, but are not limited to: Microsoft Word, Excel, Teams, Outlook, and OneDrive as well as Google Drive, Sheets, Docs, and Forms.
  • Excellent written and oral communication, interpersonal, and organizational skills.
  • Creative problem solver with the ability to work independently as well as on a team.
  • Ability to strategically conceive and coordinate and manage projects and events.

What We Would Like You to Have

  • Two Years of experience in Office Administration
  • Work experience in higher education, especially experience working with Engineering students and/or Faculty.
  • Experience interpreting and administering university policies and procedures and to take the initiative to evaluate existing processes and procedures, and when necessary, revise or develop new procedures to increase strategic operational efficiencies.
  • Experience planning and leading small to large-scale events with 10 - 100+ attendees.
  • Knowledge of CU systems, such as CU Marketplace, EMS, CCure, and ReADY Request.
  • Ability to multi-task multiple projects.
  • Experience supervising and training student employees.
  • Sensitivity to and appreciation of cultural, political, and geographical differences, with ability to work well with faculty, staff, and students from around the world.
