Job Summary

The Department of Applied Mathematics is encouraging applications for the part-time Program Coordinator for the Professional Master's Program! This position leads all aspects of the administrative functions of the Applied Mathematics (APPM) Professional Master's Program (PMD), which includes the Bachelor's Accelerated Master's Statistics Program (BAM-STAT). It advises and assists the Director and the Associate Director of the APPM Professional Master's Program with matters concerning students, course entries, and student information into a database, prepares and distributes student correspondence, and serves as a liaison between APPM PMD students and other campus departments.

The University of Colorado Boulder’s Professional Master’s Degree in Applied Mathematics is designed to give students the technical knowledge and professional skills to be highly successful in careers related to data science, statistics, applied mathematics, and engineering. The APPM PMD is a partnership between the Applied Mathematics department in the College of Arts and Sciences and the Graduate School.

Who We Are

The Department of Applied Mathematics teaches thousands of students and has a major research presence in computational and physical/biological mathematics and the statistical sciences. It has 23 tenured or tenure-track faculty. In addition, there are 10 full-time teaching professors, more than 110 graduate students, including approximately 40 teaching assistants, about 179 applied math majors, 109 statistics majors, 105 minors, and a thriving Bachelor's-Accelerate Master's program.

What Your Key Responsibilities Will Be

Process Graduate Applications
  • Organizes and schedules admissions meetings with the admissions committee.
  • Develops a routing system, processes applications according to the graduate school instruction, informs applicants of their application status and communicates as needed, composes and releases decision letters, and creates and maintains a record-keeping system to record applicant data.
  • Processes BAM-STAT paperwork as approved by the department.
Records Management
  • Maintains files for all APPM PMD students.
  • Uses Slate for admissions information and OneDrive/Google Drive for current student information. Creates and maintains a filing system.
  • Organizes files and purges obsolete files. Updates the student database.
  • Obtains and compiles data and generates statistics from raw data as needed by the department administrator, director, and associate director of the PMD Program, APPM department chair, and associate chair.
  • Enters graduate faculty appointments as needed. Processes student awards and maintains a system of tracking. Tracks various budget items, including Culminating Experience advisor stipends.
Student Customer Service
  • Responds to student inquiries concerning the graduate application process, course requirements, graduation procedures, University policy, and general questions.
  • Assists students with adding classes, dropping classes, wait lists, and culminating experience registration requests.
Written Correspondence
  • Composes and edits correspondence to the graduate students, PMD advisory board, various university departments, and university-related organizations.
  • Designs forms for record-keeping purposes, compiles and formats materials for student publications. Updates supplement to the catalog for graduate degree programs in Applied Mathematics, including the Professional Master’s Degree.
  • Attends academic meetings and reports information to students, the APPM PMD faculty director, and/or the APPM graduate chair.
Procedure Manual
  • Creates and maintains a procedure manual with basic guidelines on processing graduate applications through Slate and graduate student support functions.
  • Coordinate Orientation, Graduation, and other Campus Events
  • Coordinates orientation, student socials, advisory board meetings, and other PMD events as requested on a year-round basis.
  • Coordinate with the APPM graduate program assistant for graduation ceremonies. Provides support for other campus events as needed.
Marketing and Communications Support
  • Maintains the program website for all degree modalities, ensuring application of changes that are up to date with current and correct information, and working with the Graduate School to maintain the on-campus admissions application.
  • Collaborates with the faculty director and other CU Boulder collaborators on marketing efforts (creating assets, nurturing strategy, and deployment, etc.).
  • Facilitates communication between the APPM PMD program and campus collaborators, such as with the Office of Information Technology, the Office of Academic and Learning Innovation, the Graduate School, the Bursar’s Office, Registrar’s Office, and others as necessary.
Other/Projects
  • Handles miscellaneous office duties as needed and as directed by the department administrator, director, and associate director of the APPM PMD program, APPM department chair, and associate chair. Issues fellowship funds as needed.
  • Generally supports the APPM department as necessary.

What You Should Know

  • Hybrid Schedule: At least 2-3 days a week on campus. This can be subject to change based on the business needs of the department.
  • Employee may be expected to be on campus Monday-Friday during their onboarding and training period.
  • Standard Business Hours: 8:00 AM - 5:00 PM | Monday - Friday
  • This position is 20 hours a week as a part-time 50% appointment. The department is tasked with setting a 20 hr/week schedule that fits within the standard business hours.

What We Can Offer

The annual salary for this part-time position is $27,050 - $30,000.

What We Require

  • BA/BS Degree from an accredited institution in a related field of study; equivalent combination of education and experience may substitute.
  • 1+ years of complex education administration or relevant administrative experience.

  • Written and verbal communication skills with the ability to explain complex policies and procedures.

  • Ability to establish and maintain positive and cooperative working relationships within the department and with outside units.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Teams, Outlook).

What We Would Like You to Have

  • BA/BS Degree -or- MA/MS/MBA Degree.
  • 2+ years of experience in complex program support in higher education.
  • Knowledge of complex policies and procedures in education.
